Every tutor accumulates a library whether they meant to or not. Two years in you have a few hundred worksheets, a folder of past papers, screenshots of boards you spent twenty minutes building, a handful of recordings, and the odd photo of a student's working sent at half past nine at night.
The problem is almost never that you lack materials. It is that at 4:55pm, five minutes before a lesson, you cannot find the good quadratics sheet, so you rebuild it. That is the real cost of disorganised materials: not lost files, but remade ones.
Why tutoring materials scatter
Materials do not scatter because tutors are disorganised. They scatter because a tutoring week legitimately touches four different places, and each one captures files as a side effect:

The fourth row is the dangerous one. Most tutors are running a system whose index lives in their head, which works fine at ten students and fails somewhere around thirty, or the first week back after a summer break.
The naming convention that survives contact with a busy week
Any convention beats none, but this one holds up because it sorts usefully and reads at a glance:

| Three deliberate choices in that pattern: |
- Topic sits in the middle, because the topic is what you actually search for. You rarely think "show me everything GCSE"; you think "where is the quadratics one".
- Level sits next to subject, because the same topic is a different resource at two levels, and the pair is what makes a file unique.
- A version number, not a date. Dates make a perfectly good worksheet look stale two years on. Keep dates for things genuinely tied to one, such as
maths-gcse-mock-2026-06.pdf.
One rule matters more than the pattern: when you improve a resource, replace it and bump the version. Keeping quadratics-final, quadratics-final-2 and quadratics-really-final is how a folder becomes unusable, and it is a decision you are deferring rather than avoiding.
Where each file should actually live
The useful question is not "which app is best" but "where will I next reach for this". Sorted that way, most files place themselves:

That last row saves more space than any other habit. A link costs nothing, never goes out of date, and cannot become the stale copy.
What this looks like inside a lesson
Filing only pays off if the file appears when you are teaching, without a hunt. In Teamlilit that works through the virtual classroom:

Storage: the constraint nobody plans for
Materials are small. Recordings are not. A worksheet is a few hundred kilobytes, and an hour of recorded lesson is measured in hundreds of megabytes, which means a term of unreviewed recordings will outweigh every document you have ever made.

Typical sizes, not promises: an hour of recording is roughly 400 MB depending on resolution, a photo about 1 MB, a worksheet well under one. Your own files will differ.
Two habits keep that in proportion:
- Decide a retention rule and say it out loud. Students should know whether a lesson is available for a fortnight or a term, because otherwise they assume forever and are disappointed exactly once, at the worst moment.
- Save the ten useful minutes, not the sixty. A worked exam question is worth keeping; the ten minutes of settling in at the start is not. A board export is a few kilobytes and is often the part you actually wanted.
The termly pass
Do not tidy weekly. Nobody sustains it, and the guilt of a lapsed weekly habit does more damage than the mess. Once a term, when you already know which resources earned their place, spend an hour:
- Delete duplicates, keeping the highest version number.
- Rename anything you could not identify from its filename alone.
- Archive the levels you are no longer teaching rather than deleting them.
- Convert your three most-rebuilt resources into properly finished versions, because those are the ones costing you time every term.
One place to see all of it
Everything above still leaves a tutor's materials spread across several screens. Files sit inside the programme they belong to, recordings inside the lesson that produced them, documents on a student's record with that student. Each is in a sensible place, and none of them answers "show me everything I have".
That view now exists. The Library is one page holding every file, image, lesson recording, exercise and whiteboard, each kind on its own shelf, with folders and tags that cut across them, so you can find a worksheet without remembering which programme you filed it under. Three things about it are worth knowing before you use it:
- You do not re-upload anything. It reads what is already there. What is new is that you can now upload straight into the Library without choosing a programme first.
- A file lives in one place. Attaching one to a lesson moves it rather than copying it, so a file that already belongs somewhere tells you where and asks before it moves.
- Taking a file off a lesson is not deleting it. It goes back to the Library as a loose file.
The naming system in this article still does the work the software cannot. A Library makes a file findable; only you can make it recognisable at a glance six months later.
