The tutoring attendance sheet, explained

A good attendance record protects your income, your time, and your relationship with parents. Here's what a tutoring attendance sheet needs to do, and how to get the most out of this template.

What is a tutoring attendance sheet?

A tutoring attendance sheet is a simple register: students down the side, session dates across the top, and one cell per lesson to mark who was present, absent, or late. Tutors use it as proof of delivered lessons, as a basis for billing, and to spot attendance patterns before they become dropouts.

Unlike a school register, a tutoring sheet usually covers a small group or a set of 1:1 students on a recurring weekly schedule, which is exactly the layout this template generates.

What should an attendance sheet include?

At minimum: the class or group name, the tutor's name, the period covered, the list of students, and one dated column per session. The marks should distinguish present, absent, and late, because those three tell very different stories about a student.

A notes column is worth keeping. It turns the sheet from a record into a tool: "parent emailed", "make-up lesson booked", "third absence, follow up".

How to use this template

Enter your class name, your students, and the date of the first session, then choose how many sessions and how often they repeat. The Excel version marks each session from a dropdown (present, absent, late) and calculates totals and an attendance percentage per student automatically; the PDF prints one column per date so a full term fits on one A4 landscape page.

Keep one file or sheet per class per term and review them monthly: any student with two or more absences deserves a check-in before they quietly drop out.

When a paper sheet stops being enough

Paper sheets work until the schedule grows. Ten students across three groups means three sheets to fill in after every teaching day, and totals someone has to add up at billing time.

That's the point where attendance tracking software pays for itself: online lessons record join and leave times automatically, each student's history builds itself, and the time per session is already there when you invoice.
