How to track billable tutoring hours

This free tutoring hours tracker keeps lesson time, attendance, and billing in one place, so your invoice always matches what actually happened. Add a row per lesson, mark the status, and the tool works out your billable hours and the total due.

What the tracker records

Each row captures a single lesson: the student, the subject, the date, the start and end time, the hourly rate, the attendance status, and whether it should be charged. The duration and the amount due are calculated for you, so you are never doing mental arithmetic at invoice time.

Because the record lives in your browser, you can keep adding lessons through the week and export the whole thing when you are ready to bill. Nothing is uploaded, so your student data stays private.

Billable vs non-billable lessons

Not every lesson is charged the same way. A completed lesson is usually billable at the full duration. A late cancellation or no-show may be charged a percentage of the lesson under your policy. A free trial or a prepaid package lesson is marked non-billable so it never lands on the invoice by mistake.

Toggle the billable switch per lesson and pick the status, and the tracker adjusts the amount automatically. That way your teaching record stays complete while your invoice only includes what is owed now.

Attendance and lesson time together

Attendance and billing are linked: who attended, who was late, and who missed a slot all affect what you charge. Tracking them on the same row means every charge has a clear record behind it, which makes parent conversations far simpler.

Cancellations, no-shows, and packages
